Audio and Video Tech Team - Qualities: Professional & Tech Savy

 Audio & Video Tech Team 

 

Before the Camp (8am-10:00am)

 

  • Arrive and park in parking lot
  • Get camp shirt and take a picture of the Camp itinerary
  • Collect all electronic presentations and equipment from Multi Media Team Leader
  • Set up and/or test run all presentations prior to start of camp
  • Assist any presenter with audio and video needs
  • Give clearance to Donovin that everything is ready to go

During the Camp (10am-12:30pm)

  • Be ready and able to assist where needed
  • Trouble shoot any audio and video problems

After the Camp  – when everyone is outside (12:30pm-1pm)

  • Hand in all checked out equipment if necessary
  • Assist with the breakdown of any area
  • Pick up camp photos and lunch before departing
  • Report any issues that occurred during the camp

DD’s Personal Assistant Team - Qualities: Must Have A Heart of Service

Before the Camp (8am-10am)

  • Arrive at Terry Parker High School located at 7301 Parker School Rd, Jacksonville, FL 32211
  • Get camp shirt and take a picture of the Camp itinerary at volunteer check-in
  • Pick up itinerary and have debrief of event with Donovin
  • Get specific assignments for the day
  • Assist where needed before the camp begins

During the Camp (10am-2pm)

  • Shadow Donovin and assist where needed
  • Video tape and/or take pictures of action with each group
  • Post content on social media platforms: Facebook, Instagram, periscope
  • Upload cameras and phones as they get filled up

After the Camp (2pm-2:30pm)

  • Get testimonials at conclusion of camp from families
  • Upload cameras and phones as they get filled up
  • Check in all equipment
  • Debrief with Donovin
  • Get your lunch and camp photos
  • If possible- Sign up for next life camp

Experience Team - Qualities: Warm & Accommodating

Experience Team

Before the Camp (8am-10am)

  • Arrive at Terry Park High School located at 7301 Parker School Rd, Jacksonville, FL 32211
  • Get camp shirt and take a picture of the Camp itinerary
  • Meet your Team Leader and receive overview of the day and assignments
  • Check out any necessary equipment that is needed for the day
  • Meet and Greet the families before and as they enter the doors
  • Create the Disney Experience with music, smiles, encouragement and thanksgiving
  • Spread out and give guidance for families to flow through the facility and into the main area.

 

During the Camp (10:00am-2pm)

  • Meet your assigned groups when announced after the team photo
  • Lead your assigned group into the stadium club and into their seats
  • Assist the presenters, coaches and participants with your energy, enthusiasm and participation
  • Stay with your group throughout the camp experience
  • Take children to the bathroom with a buddy as needed while inside or outside of the stadium
  • Assist with the clean up of any materials that were used during the breakout groups

 

After the Camp (2pm-2:30pm)

  • Return to the volunteer check-out area to grab your camp photos and lunch
  • Report any issues to your team leader before departing
  • If possible- Sign up for the next camp

Food and Beverage Server Team- Qualities: Organized and Efficient

Food and Beverage Server Team 

Before the Camp (7:30am-10:00am)

  • Arrive at Terry Parker High School located at 7301 Parker School Rd, Jacksonville, FL 32211
  • Get camp shirt and take a picture of the Camp itinerary
  • Transport snacks, juice drinks and water to designated area
  • Set up snacks on tables and drinks in ice bins
  • Hand out snacks and drinks to participants
  • Encourage participants to go into the “Partner Hall” to visit other resources

During the Camp (10am-2pm)

  • Pack up remaining snacks and drinks; transport to designated area
  • Set up or move tables near exit doors and set up snacks for mid-morning snack
  • Clean up area and move tables into place for lunch
  • Meet food delivery person to pick up food
  • Fill drink containers with water/drinks
  • Hand out lunches and group photos/handouts to participants

After the Camp (2:00pm – 2:30pm)

  • Pack up remaining lunches for delivery to Sulzbacher Center
  • Pack up remaining snacks and drinks; transport to Donovin’s truck
  • Clean up area and return tables, table cloths to appropriate areas

Hydration Camp and Heat Prevention Team - Qualities: Energetic & Mobile

Hydration & Heat Prevention Team

Before the Camp (8am-10am)

  • Arrive at Terry Parker High School located at 7301 Parker School Rd, Jacksonville, FL 32211
  • Get camp shirt and take a picture of the Camp itinerary
  • Unpack and load dollies to take things to field
  • Check out walkie talkies
  • Assign volunteers to specific areas
  • Set up hydration tents on the fields with: cups, water, trash bags, tables, gatorade bottles, sponges and gloves,
  • Fill Gatorade bottles with ice and water
  • Set up water bottles
  • Put water bottles in ice
  • Tie trash bags to tent
  • Return to lobby for volunteer debrief and photo

 

During the Camp 

1st half (10am-12:30pm)

  • Find the Experience Team Leader and get assigned to your  specific groups
  • During break out group times- assist, advise and support the group volunteers
  • At 12:15pm get together with all hydration team members at designated area and head outside before participants arrive

2nd Half (12:30-1:45pm)

  • Fill up water cups for water breaks
  • Bring Gatorade bottles onto the field to hydrate participants during all activities
  • Keep participants hydrated and cooled down with sponges
  • Stay alert for dehydrated or over worked participants and provide assistance
  • Set up tent area with cones for the water break and cooling zone

 

After the Camp (1:45pm-2:30pm)

  • Clean up and dump ice
  • Break tents down and prepare them to be taken to truck
  • Check in and return all equipment in lobby
  • Pick up camp photos and lunch
  • If possible- Sign up for next camp

Life Camp Coaches Team - Qualities: Enthusiastic & Engaging

Life Camp Coaches Team

Before the Camp (8am-10am)

  • Arrive at Terry Parker High School located at 7301 Parker School Rd, Jacksonville, FL 32211
  • Pick up your camp shirt and take a picture of the Camp itinerary and Field Site Maps
  • Unpack and provide assistance where needed
  • Meet and Get Specific Assignments from Team Leader

Field Set Up Warm up cones, competition cones, speed drills, agility drills, ladders, combine areas, etc. See Field Diagrams for further information.

  Family/Age Groups: Each coach will be assigned a specific age group for the day. Be alert that   some groups will have more coaches based upon the age of participants.

 

During the Camp (10am-2pm)

  • Bring your enthusiasm and energy to your group
  • Provide engaging and fun leadership to all participants
  • Demonstrate drills for participants
  • Time participants and create a fun, learning and competitive environment.
  • Be adaptable and flexible as things may change

Coach these (5) main areas of the on-field camp experience

  1. Warm up: Get them lined up and verbally repeat the instructions
  2. Drills: Demonstrate and give clear instructions. Maintain order and safety
  3. Competitions: Organize the groups, give clear instructions and build up the energy
  4. Closing Ceremony or Tours: Provide leadership and clear instructions for your group
  5. Safety: Monitor your group participants and make sure they are properly hydrated and safe

 

After the Camp (2pm-2:30pm)

  • Clean up fields and return all equipment to appropriate location
  • Turn in walkie talkies
  • Pick up camp photos and lunch in designated area
  • Bring all necessary bins to the truck
  • If possible- Sign up for the next camp

Medical and Safety Team - Qualities: Attentive & Qualified

Medical & Safety Team

Before the Camp (8am-10am)

  • Arrive at Terry Parker High School located at 7301 Parker School Rd, Jacksonville, FL 32211
  • Check in at the volunteer table
  • Get camp shirt and take a picture of the Camp itinerary
  • Get your walkie talkie, medical bands, carrying case and other equipment
  • Set up medical table at check in
  • Set up medical tent on field
  • Have Medical Team meeting to discuss expectations and reminders
  • Put id bands on kids with issues

 

During the Camp (10am-2pm)

  • Manage injuries and provide first response service as needed
  • Document all injuries and medical inquiries

 

After the Camp (2pm-2:30pm)

  • Break down medical tent area
  • Collect and return all equipment to truck
  • Report all medical issues to camp admin
  • Follow up where needed post camp
  • Grab your camp photos and lunch

Participant Check-in - Qualities: Smiles and Inviting

Participant Check-in

Before the Camp (7:30am – 9:30am)

  • Arrive at Terry Parker High School located at 7301 Parker School Rd, Jacksonville, FL 32211
  • Set up check-in tables at designated check in area. Place (2) chairs at each table for check-in volunteers to sit.
  • Set up separate tables or area to hand out shirts to hand out t-shirts.
  • Put table clothes on the tables
  • Sort camper’s t shirts by size – Youth to Adult.
  • Provide each check-in volunteer with the list of participants for their table, nametags, sharpies and pens.  Provide walk-up registration forms and green medical bracelets.
  • Some volunteers will be assigned as t-shirt runners for the check-in team.
  • Place DD Foundation donation boxes on each check-in table.

During the Camp

(9:30am – 10:30am)

  • Begin Camper Check-in when gates open
  • Ask for last name of participant  (for family camps – parent last name as all children will be listed with parent)
  • Check off EACH name and call for t-shirt as noted on the check-in list
  • If name is in RED, tell you understand they noted a medical condition during registration.  “Ask them to wear a GREEN medical bracelet to help us identify in the event they need assistance during the camp. “
  • Ask if they would like to make a donation to the Donovin Darius Foundation CAMP Fund today by placing it in the DONATION BOX.    Thank them whether or not they donate. ”  
  • After the family has been checked-in and received their t-shirts, go over the following:
    • Inform campers of the location of restrooms. They can use them to change into their camp shirts.
    • Next direct them to enjoy some breakfast snacks in the East Club up the stairs, then for the  Fun Photo Shoot for families.
    • Encourage them to enjoy The Donovin Darius Foundation Experience!
  • ***If a camper is not on the list and has their confirmation letter, add them to the list and continue the normal process.
  • ****If a camper is not on the list and does not have their confirmation letter with them, have them complete a paper registration form. Add them to your list

 10:30am – 2:00pm

  • Consolidate Camper Check-in into one table
  • Count # of campers (Kids by age, Adults) and radio to Head Coach.
  • Team Leader will combine all lists onto one Master sheet.
  • Inventory t-shirts by size and record on Inventory sheet

After the Camp

  • Grab your camp photos and lunch from designed area
  • If possible-sign up for next camp

Photography Team - Qualities: Creative & Mobile

Photography Team 

Before the Camp 

  • Arrive at Terry Parker High School located at 7301 Parker School Rd, Jacksonville, FL 32211
  • Get camp shirt and take a picture of the Camp itinerary
  • Meet your Team Leader in the Multi Media area
  • Get a copy of Life Camp itinerary
  • Get assigned your “area of the day”
  • Welcome address by Donovin
  • Handle final adjustments or last minute details

 

During the Camp– (9:30am-2pm)

  • Take photos of your assigned area

 

After the Camp (2pm-2:30pm)

  • Return to the multi media area
  • Upload your photos
  • Grab lunch and camp photos
  • Select your top 10 moments, edit them and email them to the foundation
  • If possible- Sign up for next camp

Printing Team - Qualities: Supportive and Tech Savy

Printing Team

Before the Camp (7am-9am)

  • Arrive at Terry Parker High School located at 7301 Parker School Rd, Jacksonville, FL 32211
  • Get camp shirt and take a picture of the Camp itinerary
  • Assist unpacking printing equipment and take to the Multi media area
  • Set up printing area with printers, computers, cables, photo paper, memory card readers, etc
  • Get the official “Volunteer photo” and start to print out

 

During the Camp (10am-2pm)

  • Get the official “Camp photo” and start printing
  • Stack photos and prepare them for distribution
  • Email both finished official camp photos to dd20@DonovinDarius.com

 

After the Camp (2pm-2:30pm)

  • Pack up all equipment in appropriate bins and put near truck
  • Get lunch and grab your camp photos
  • If possible- Sign up for the next camp

Volunteer Check-in Team - Qualities: Able To Arrive by 7:30am and Highly Efficient

Volunteer Check-in Team

Before the Camp (7:30am-9:30am)

  • Arrive at Terry Parker High School located at 7301 Parker School Rd, Jacksonville, FL 32211
  • Get camp shirt and take a picture of the Camp itinerary
  • 7:30am – 8:00am
    • Put table cloths on tables
    • Set up t-shirts by color and size on one table
    • Set up two lines for check-in with check in sheets at each one
    • Set up name tags on one table.  Set up walk up check-in forms with pens
    • Set out volunteer snacks and drinks
    • Check-in Team Leaders, provide shirts (if needed), and names tags.
    • Assign Walkie-talkies with sign out sheets
    • Determine where to send volunteers as they arrive.

    8:00am – 8:30am

    • Check-in volunteers and confirm assignments
    • Hand out names tags
    • Hand out t-shirts (if new volunteer) by role and color
    • Show volunteer team leader photo and site map
    • Ask volunteer to take photo of timeline to keep up with itenerary
    • Direct volunteer to team leader’s location.  Radio team leader that volunteer is coming.
    • Use substitution matrix to assign walk-up volunteers or volunteers who need assignment

During the Camp (10am – 2:00pm)

  • Check-in late volunteers and radio team leader to meet them
  • Check-in guests and presenters and radio team leader to meet them
  • Tally number of volunteers onto master list and provide to Asst Camp Director
  • Inventory shirts, pack in bins and load in Asst Camp Director’s vehicle
  • Fill in on any team where needed (Hydration, Experience, Photo printing)
  • Set up lunch area for volunteers – box lunch, certificate, group photo

After the Camp (2:00pm – 2:30pm)

  • Collect name tags and hand out box lunch, certificate, group photo
  • Clean up volunteer lunch area. Work with servers to combine leftover lunches, drinks, and snacks.
  • Return table cloths to Asst Camp Director
  • If possible- Sign up for next camp
